Business systems

Systems that fit how you work today, starting with your workflow

Business systems overview

Every company manages orders, inventory, customers, and projects in its own way. Bending your operations to fit an off-the-shelf package can end up creating more manual work, not less. RG looks closely at how your work flows today, then designs and develops a business system that fits it.

Re-keying orders that arrive by fax into a system by hand. Several people updating Excel ledgers until no one knows which version is current. We replace everyday tasks like these with systems, without forcing change on your team. We can also propose keeping your current accounting software or core systems and connecting them via CSV or API.

You can talk to us even before your requirements are settled. Consultations and estimates are free. The person who first hears your requirements goes on to handle design and development.

Sound familiar?

  • Orders that arrive by fax or phone are re-keyed into your system by hand, every time
  • Inventory and customer information is scattered across multiple Excel files, and no one knows which is current
  • Project status lives only in individual staff members' heads, so no one can answer when they're out
  • The same information is entered again and again into your accounting software and core systems
  • You tried an off-the-shelf package, but it didn't fit the way you work and fell out of use
  • You want to replace an old system but don't know how to do it without disrupting operations

What we offer

01

Order, inventory, customer, and project management systems

Records from order intake to shipping, inventory levels, supplier and customer information, project status — we build systems that let you manage the information you handle every day in one place. The input fields and screen layout are designed around your operations.

02

Replacing paper, Excel, fax, and phone

We replace paper slips, Excel ledgers, and work handled by fax or phone with web screens for entering and checking information. If it's hard to ask your business partners to change how they send orders, we can keep the way you receive them as is and systematize only your internal processing.

03

Integration with existing systems and accounting software

We keep the core systems and accounting software you use today and build mechanisms to exchange data with them via CSV files or APIs. After checking the specifications of the systems involved, we propose how much double entry can be eliminated.

04

Internal admin panels

We build the admin panels your staff use behind customer-facing services and websites. We also build in what you need to use them safely in-house, such as limiting what each role or department can see and logging who did what and when.

05

Phased replacement

Rather than replacing everything at once, we propose systematizing the operations with the biggest pain points first. You can also run the old and new systems side by side for a while and switch over once your team is comfortable.

06

Maintenance and operations after launch

A business system really proves itself once it's in use. Under a monthly maintenance and operations contract, we keep handling bug fixes, changes to keep pace with your business, server management, and more.

/ Why RG

Why work with RG

01

The person you talk to does the development

The person who first hears your requirements goes on to design and develop the system. Requirements don't get lost between sales and engineering, and you never have to re-explain the finer details of your operations along the way.

02

We map your workflow before designing screens

We don't jump straight into screens and features. Together we confirm who uses which information and when, and separate what should become a system from what people should keep doing. Then we build only the features you really need.

03

We develop and run our own products

We plan and run our own products, including the order automation service Flux. We know firsthand what happens after launch and what causes trouble in day-to-day operations, and we bring that experience to the design of your system.

04

We work in Japanese, English, and Korean

We can hold meetings and exchange documents in Japanese, English, or Korean. Talk to us if your work involves overseas business partners or if you need multilingual screens for international staff.

/ Process

How we work

  1. STEP 01

    Consultation & current-state review

We start by hearing what's causing trouble today. If you have forms, Excel files, or system screens you use, showing them to us speeds things up. It's fine if your requirements aren't settled. Consultations are free.

  2. STEP 02

    Workflow mapping & proposal

We diagram your workflow and decide with you what to systematize and what to leave as manual work. We then present the scope, approach, and an estimate. For large systems, we also propose a phased approach.

  3. STEP 03

    Design & development

We settle the screen flow and how data is structured before starting development. During development, we show you working screens to check usability and adjust as needed.

  4. STEP 04

    Rollout & data migration

We migrate data from your existing Excel files and systems to the new system, and you start using it in daily operations. If needed, you can run it alongside your current way of working for a while and switch over once you've confirmed everything works.

  5. STEP 05

    Maintenance & improvement

Many improvements only become apparent after you start using the system. Under a monthly maintenance and operations contract, we keep fixing bugs, adding features, and adjusting the system as your business changes.

From ¥1,000,000Example: turning an Excel ledger into web screens for data entry and search
Medium (a system that connects several operations or departments)
From ¥3,000,000Example: bringing order, inventory, and shipping information together and passing it to accounting software as CSV

/ FAQ

FAQ

Can we talk to you before our requirements or specifications are decided?

Yes. It's fine to come to us at the stage of "we want to fix this task." We'll learn about your current workflow and work out with you what to systematize. Consultations and estimates are free.

How long does development take?

It varies greatly with the scope and the systems to be integrated, so there's no single answer. Once we've mapped your workflow and the scope is clear, we give you an estimated timeline along with the quote. If some operations are urgent, we can also discuss building those parts first.

How is the cost determined?

Mainly by the number of screens and features, the systems to be integrated, the amount of data to migrate, and the scope of maintenance after launch. Starting with what you need and expanding gradually can make costs easier to plan than building big from the start.

Can you integrate with the accounting software or core systems we use?

We propose integration by exchanging data via CSV files or APIs. What is possible depends on the specifications of the system you're connecting to. If you tell us which systems are involved and what data they can export, we'll look into it and propose an approach.

Do we have to replace all our systems at once?

No. We can replace operations one at a time, starting with the biggest pain points. You can also switch over gradually while running the new system alongside your existing ones.

Can data we've kept in Excel or on paper be moved to the new system?

Yes, you can ask us about data migration as well. The effort depends on the volume of data and how consistently it was recorded, so we look at the actual files before explaining the approach and cost. For paper records, we decide together how much to re-enter.

Can you maintain the system after launch?

Yes. Under a monthly maintenance and operations contract, we handle bug fixes, changes to keep pace with your business, server management, and more. Because we developed the system, we handle maintenance directly, and you never have to re-explain the background from scratch.

What contract types do you offer?

There are three: a fixed-price contract, a monthly maintenance and operations contract, and technical advisory. You can combine them, for example a fixed-price contract for development followed by a monthly contract after launch. We also take on technical consulting alone for teams developing in-house.
